A non-refundable deposit is required and signed invoice must be returned within ten days booking. The remaining balance will be collected at the time of arrival by the customer’s choice of cash, check, or credit card.
What form of payment do we accept? Cash, Check, Credit Card, Venmo @AsaroTentRental or for other business owner's Trade First. Please note that a 4% additional fee will be added to any credit card transaction. Please remit checks to Asaro Tent Rental Inc.
How much room do you need for a tent?
Areas where tents will be placed need to be free of debris, landscaping, etc. All tents need an additional 10 Foot of clearance around the entire tent area of the canopy for proper set-up.
What is the cancellation policy? You may change items on your reservation up to 7 days prior to the event per availability. If you cancel or eliminate the rental or items within the 14 days before the event you will be responsible to pay Asaro Tent Rental 100% of the rental fee for those items due to the unlikelihood of potential rentals on those reserved items. A phone call/email is required to cancel your order. Cancellations due to a death in the family will be asked to provide paperwork/proof to waive the entire rental fee; Asaro Tent Rental has all legal rights to cancel an event/booking if the invoice and deposit are not received back within 10 days of the booking date.
Can items be added to your reservations? Renters can at any time add additional items to their existing reservation pending availability and able to take away or minus items up to $25.00 max. Larger rentals of any canopy over a 30x40 will have the availability to take away or minus items up to $50.00 max.
Can a Tent be set up on pavement? All our tents must be secured and or staked into the ground for safety reasons, and there are several ways to accommodate for paved drives, parking lots, etc. Please call for further details as POLE tents can only be set-up on certain parts of a paved surface and do not have the same versatility as a Frame tent. Advanced notice and acknowledgment on the invoice/contract by the customer is required for any equipment being set up on any surface beyond a grass or yard area. It is the customer’s responsibility to address any set-up issue concerning the surface area in which equipment is being set prior to the contract being sent out. The contract must show additional set-up requirements such as paved surfaces, driveway, cement, asphalt, etc. to comply with the setup of any equipment beyond a grass or soft yard area. We will not be responsible beyond a lawn or soft area setup without specific notes/proof of additional setup or special setup requirements if not stated on the contract. Please be sure any issues are addressed prior to booking and signed invoice. Asaro Tent Rental Inc is not responsible for fixing or repairing any damage to any surface due to the setup on concrete, blacktop or any solid surface requiring staking in with a jackhammer or drill holes. Drill holes can be filled in by Asaro Tent Rental which will be addressed within the contract and agreed upon and if not then the customer is responsible. For an additional fee we can fill the holes caused from drilling or staking through a solid surface to secure the equipment, please inquire for additional details and cost to fill the surface area in. At no point in time while the equipment is in the renter’s possession will any attempts by anyone other than Asaro Tent Rental employees be made to try and move and/or relocate any structure, canopy, tent, or inflatable rented from Asaro Tent Rental. Water Ballasting is not a safe alternative to stakes and is advise against it. If water ballasting is requested the customer releases Asaro Tent Rental of all liability without exception.
When will your items be delivered? Asaro Tent Rental will make confirmation calls Monday through Wednesday prior to your event to provide setup details and if the setup is a morning time route or afternoon time route. (Due to very busy periods and changing schedules our delivery schedule is not known until the Monday or Tuesday evening prior to your event). You will be contacted by phone at that point. Morning time deliveries run from 8 am to PM and afternoon time deliveries run from PM to PM. If the customer is choosing to pick items up, the customer agrees to have all items cleaned and returned by 10 am the day after the event or the daily rental fee for each piece of equipment will be charged, and charged for each additional day late.
Friday and Saturday Rentals – Delivery times can vary from either Thursday, Friday or the day of the event depending on route schedules. We ask that all lawn maintenance and preparation be complete two days prior to set-up to ensure that your equipment is setup clean and free of ground debris. A confirmation call will be made at the beginning of the week of your event to give a more specific delivery timeframe. There is no “day before setup” guarantee and no two day before setup guarantee for wedding/larger events.

When will the items be picked up? Pick-ups vary pending rental date. Pick-up’s can be later the same evening as the event, or as early as 5 a.m. the following morning. Please be sure that all items are ready for pick-up and free of debris, tape, stringers, streamers, balloons, and decorations of any type by the end of the night of the event. A cleaning fee will be charged if equipment is not ready for pick up. Please do not lay tables and chairs on the ground or lay any additional equipment on the ground due to moisture and dirt. You are responsible to place all equipment back the same way it was dropped off. This helps keep it clean for the next customer. Tables and chairs are not set up but dropped off unless additional arrangements have been made. Table and Chair orders only will be dropped and stacked in the garage or on the driveway by Asaro Tent Rental and returned to the driveway/front of home by customer and stacked for pickup to avoid additional fees.
Inflatable Information/ Carnival Games/Dunk Tank:
Inflatable’s/Carnival Games/Dunk Tanks may be delivered and picked up the date of the event unless agreed upon prior to or specified by Asaro Tent Rental Inc. (Subject to change at the discretion of Asaro Tent Rental Inc.) for safety purposes the Inflatable/Carnival Game/ Dunk Tank may be picked up by dark the same day of the event or after 8 hours’ rental time, unless agreed upon in advance.
Inflatables/ Carnival Games/ Dunk Tank can be used indoors and outdoors. Inflatable’s come with a blower and extension cord and require an electrical outlet no more than 75 ft away. Customers are not allowed to add additional cords. For indoor rentals you need at least a 17 ft clearance; Dimensions/Height varies pending rental choice. All rules and policies must be adhered to with Inflatable Rentals/Carnival Games/Dunk Tank rentals. Customer will supply the hose and water for the Dunk Tank and empty the Dunk Tank by the end of the evening rental. A cleaning fee will be assessed if the rules are not adhered to. Inflatables/ Carnival Games/ Dunk Tank are rented for a daily rental rate of eight-hours. If Inflatables are left overnight, they must be blown back up in the early morning and left blown up all day for drying purposes and for pickup purposes rain or shine. No exceptions allowed or a cleaning fee will be assessed per inflatable.
We will not be responsible for damage to any underground utilities or sprinkler systems with no exceptions. If you have any concerns, please call Miss Dig at 811 or at 800-482-7171 or by email at elocate.missdig.org. Please allow Miss Dig 3 full working days prior to your event.
Any damages to Asaro Tent Rental equipment while in the renter’s possession will be the renter’s responsibility. Full cost of damaged equipment replacement will be charged to the renter. Due to legal and liability policies any damaged equipment returned to Asaro Tent Rental will be disposed of by Asaro Tent Rental and will not be released to the renter. We will not hold our customer’s responsible if the equipment is damaged by equipment failure, weather conditions, or if used as instructed if needed. Asaro Tent Rental will not be responsible for damage to grass or sod. Stakes are used for the tents/ inflatable’s/carnival games/ and other equipment; we will not be held responsible for any injuries due to contact with the stakes. At no point in time will the customer attempt to remove, relocate or touch the stakes after the equipment has been set by Asaro Tent Rental as this could result in safety concerns.
Asaro Tent Rental will not be responsible for any catastrophic event that may affect the customer’s event to include weather changes or acts of god. Asaro Tent Rental also reserves the right to cancel your event at any time for any reason without exception and to include falsification of any type. The signed party is responsible 100% with no exceptions.
Asaro Tent Rental will always ask for confirmation placement of all equipment. We do require someone to be present at the time of setup, unless otherwise agreed upon and marked off for setup by the customer. If during setup the equipment is to be moved after confirmation/marking the full price of the equipment being moved will be charged to the renter no exceptions.
No open flames, bonfires, campfires or excessive heat within 50 feet of the canopy. Our canopies are fire retardant and will not catch fire, but open flames, bonfire ash, campfire ash or excessive heat close to the canopy will melt the canopy and the renter is responsible for any damage that occurs while in the renter’s possession. Full replacement cost will be paid by the renter/customer to Asaro Tent Rental Inc. for any incidents of canopy damage. For additional questions or information concerning fires, open flames or excessive heat near the canopy please call us. A cleaning fee will be assessed if any type of “ASH or SOOT of any kind” from a bonfire, campfire or excessive heat is present on the canopy, tables, chairs or rented equipment at the time of pick up by Asaro Tent Rental or while being returned to Asaro Tent Rentals possession no exceptions.
